Role IntroductionTo enable Cathay Cargo’s mission at the port level by executing reliable, customer-centric air cargo operations and administrative functions. Through hands-on operational excellence, precise documentation, and close coordination with suppliers and stakeholders, the role upholds safety, compliance, and sustainability.
Committed to quality and teamwork, the Cargo Service Officer supports on-time performance and service delivery, ensuring every shipment reflects our dedication to moving cargo that matters to the world. Additionally, the role actively supports port management in fulfilling its responsibilities by contributing to operational oversight, compliance assurance, and stakeholder engagement, thereby strengthening the overall cargo service delivery at the port.
Key ResponsibilitiesOperational Excellence
- Execute cargo reservations and bookings with accuracy and professionalism to support seamless shipment planning
- Provide timely and proactive notifications to GHA/GSA/GSSA regarding flight schedules, including delays and on-time performance
- Deliver real-time shipment status updates to customers, ensuring transparency and trust
- Guide and monitor Ground Handling Agent performance, issuing clear instructions to uphold service standards
- Maintain ULD inventory compliance and coordinate with regional teams for proper asset management
- Implement digital initiatives such as e-AWB and e-Freight to streamline workflows and reduce manual processes
- Actively participate in daily operations to support and achieve port-level performance targets
Administrative Support
- Prepare and verify flight documentation for crew and customs to ensure regulatory compliance and operational readiness
- Review and submit post-flight documentation and reports accurately and on time
- Respond promptly and professionally to customer enquiries, manage offline and e-booking requests, support local sales teams with booking updates and customer queries, and keep customers informed of shipment status with timely, solution-oriented communication to ensure transparency and service reliability
- Coordinate freighter catering uplift and manage last-minute changes to support uninterrupted flight operations
- Liaise with engineering, airport operations, air traffic control, and relevant suppliers to ensure smooth and coordinated service delivery
- Facilitate cargo service coordination between sales, operations, and ground handling teams to optimize shipment handling
- Communicate effectively with internal and external stakeholders including customers, suppliers, flight crew, and port teams
- Assist with station administrative tasks, including SAP-based processing of supplier invoices, updating flight orders, and other documentation workflows to ensure timely and accurate operational and financial recordkeeping
- Manage and support Cathay Pacific flight diversions as required
- Provide crew administration and support at the port to ensure operational continuity
- Coordinate with relevant stakeholders and customers to ensure smooth and timely issuance of Delivery Orders (applicable for India and Sri Lanka)
- Support training and supplier oversight, including monitoring GHA performance and reporting issues to port management
Ramp Coordinator (RCO) (Freighter Ports Only)
- Monitor ramp and warehouse operations to ensure that all procedures are properly executed by the Ramp Handling Operator and Cargo Terminal Operator, with a focus on special cargo, ad-hoc cargo and mail movements, and freighter loading/unloading
- Optimize space utilization for Unit Load Devices and freighter belly compartments to maximize efficiency
- Ensure aircraft security searches are conducted in accordance with the Security Programme
- Maintain clear communication with the Captain, RHO, CTO, and Cargo Office
- Coordinate with the local CX Cargo office and all other relevant stakeholders to provide real-time updates on freighter positioning during schedule disruptions to support operational decision-making
- Resolve RAMP-side issues swiftly, ensuring safety and service continuity during loading and unloading
- Investigate causes of delays and provide recommendations to Cargo Service Manager/Asst. Cargo Service Manager to ensure accountability and improvement
- Oversee acceptance and release of special cargo such as animals, engines, vehicles, bulky and oversized shipments- at Warehouse & RAMP
- Any other reasonable task as requested
RequirementsAcademic Qualifications
- University degree (or tertiary equivalent) in a related discipline
- Additional certification or diploma in logistics, supply chain management, or aviation operations is preferred
Knowledge, Skills, Training and Experience
- Minimum 2+ years’ experience in airline, freight forwarding, logistics, or a related industry, covering operations or customer service.
- Mandatory possession of Cathay Cargo Freighter RCO Licence and SHE (Super Heavy- as applicable) Licence for freighter-operating ports.
- Strong verbal and written communication skills.
- Demonstrated customer service orientation with a proactive and solution-focused approach.
- High attention to detail and accuracy in operational execution.
- Proficient in Microsoft Word, Excel, and PowerPoint.
