Role Introduction

Reports to: Finance Manager, Japan
Location / Country: Tokyo / Japan
Employment Condition: 3-year contract, though depending on circumstances, it may be converted into a permanent position within or at the end of the 3-year term

We are looking for a Financial Services Officer who is expected to support the Finance Manager in providing accurate and on time payroll services, and local business units to ensure robust control and compliance of financial operations in addition to conducting accounting and finance activities in line with established company policy and local regulatory requirements and to assist on other projects as may be required.

Key Responsibilities

Payroll

  • Enrolment of new hires and ongoing maintenance of all employee payroll records payroll files in accordance with all legislated and internal record retention and archiving policies, ensuring employee files are complete, up-to-date and accurate including those of departing employees
  • Compilation of payroll data including computation of wages earned, deductions required, inputting changes and adjustments as required in a timely manner
  • Verification of timesheets - hours submitted, approved overtime, annual leave taken, duty travel, sick leave, etc. with authorisation of the appropriate manager
  • Respond to government surveys and meeting government reporting deadlines as required
  • Preparation of Records of Employment requests and queries from government authorities for additional information or verification of payroll information
  • Calculation and subsequent payment of payroll related remittances, monthly, quarterly and annual account reconciliations, preparation of audit information for pensions, Workers’ Compensation, social insurance, checking of individual income tax social insurance and other benefit programmes as required
  • Provide support for employee budget preparation as requested
  • Respond to employee payroll queries in a timely and professional manner
  • Any other reasonable task as requested

Compliance – Legal, Taxation, Regulatory Reporting

  • Support the Finance Manager/Supervisor to complete accurate and timely filing of tax returns, audits, declarations, applications/renewals of all required licenses and other financial related matters to local authorities
  • Fully comply with all applicable laws and regulations, including maintenance of necessary accounting records as per local requirements

Banking &Treasury /Others

  • Assist the Finance Manager/Supervisor to oversee the cash management process, including petty cash across local offices and replenishment of funds
  • Ensure banking records are kept up- to-date and appropriate bank account reconciliations are performed
  • Manage and maintain accurate local inventory and asset registers

E&A

  • Emergency and Accident and Crisis Response responsibilities as required
Requirements
  • A minimum of two years’ experience in Finance/Accounting with payroll is essential
  • A degree in Accounting or a related discipline is an advantage
  • Experience in SAP is an advantage
  • Sound understanding of local country’s business practices in relation to payroll and associated processes
  • A good team player with strong interpersonal skills and can interact with all levels within the organisation
  • Strong planning, problem-solving and organisational skills and can prioritise and manage time and deadlines
  • Very high attention to detail
  • Adapts to and embraces constant change
Benefits
  • Base salary: JPY325,820/month~(based on experience and skills)
  • Fixed allowance per month: JPY38,000 + Base salary x 7.4
  • Other allowances: the company regulations apply including significant airline travel discounts
  • Social insurance: Unemployment insurance, Workers compensation insurance, Health insurance, Welfare pension insurance
  • Commuting expense allowance: Up to JPY50,000/month
  • Working hours per day: 7.5 hours with some remote working days
  • Break time: one hour
  • Off day: Two days off every week
  • Probation period: 3 months
  • Annual leave: 16 days in the first year after completing 6-month service
  • Potential for additional discretional bonus (depending on the Companys performance and financial status)
