The Worldwide Aviation Support Services (WASS) program, an AAR business, headquartered in Rockledge, FL, provides global, world-class expeditionary and conventional aviation solutions to the US Department of State Air Wing.

Role Description:

  • Provides Advanced administrative support.
  • ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Performs administrative duties such as typing, mailing, filing, faxing, and distributing correspondence.
  • Reviews outgoing materials and correspondence for internal consistency and conformity with established procedures.
  • Orders and maintains supplies for department.
  • Coordinates with PMO travel as required to support mission pertaining to mobilization-TDY.
  • Maintain a close working relationship with PMO HR to promote mission support operations.
  • Collaborate with PMO HR personnel and department team leaders on employee relation concerns, and assist with separation procedures to include but not limited to exit interviewing, departing email, and processing documentation as required.
  • Support functional managers to promote mobilization IAW with mission requirements.
  • Produce, submit, and track USG BEC VAR IAW RSO policy.
  • Tracks Visa life cycle and renewals as required, Emergency and multi-entry, Coordinating with BEC LMC for visa application submissions and AEBEA for blood draw. Work with and coordinate with ILA and BEC LNC as required.
  • Produce and submit badge applications IAW with BDSC RSO policy for new arrivals.
  • Schedules for RSO security briefs and coordinates with employees.
  • Track badge life cycles and ID expirations in a manner suitable to renewal without mission interference.
  • Produce and submit IAW with BDSC airfield management policy, flight line badge application for new arrivals.
  • Schedules for flight line orientation briefing and drivers course exams.
  • Identify and track future housing requirements.
  • Produce and submit housing requests to INLA sponsor as required.
  • Coordinate with BDSC GSO housing office for arrivals and departures IAW the BDSC housing policy ensuring housing assignments meet mission requirements if practical.
  • Produce and submit GSO support requests for BIAP expediter and shuttle support as required and IAW GSO policy.
  • Supports travel requirements not of a routine nature 24-7, providing support as required for evacuation and or otherwise unscheduled departures-demobilization
  • Track employee passport expirations ensuring compliance with MOI POE policy.
  • Perform Audits of passports and passport documents as required.
  • Employee travel request validation. R and R allowance validation and submission to site PM for approval. Assist with Invoice Validation.
  • Participate in all hands as may be required in order to promote information exchange with employees.
  • Provide arrival briefs and assist incoming personnel with customs and immigration processing in the arrivals terminal.
  • Perform other duties as assigned.

Job Requirements:

EDUCATION and EXPERIENCE Required

  • High School diploma or GED.
  • 2 years in the clerical field preferably as an administrative assistant.
  • Must be proficient in Microsoft Office, Excel, Word, PowerPoint, Outlook.
  • Excellent mathematical skills. Focused individual with exceptional organizational skills.
  • Able to work independently.
  • Ability to speak, read and comprehend Level II English.
  • Position requires a U.S. Department of State Moderate Risk Public Trust MRPT or Embassy background check.

Preferred

  • Associates degree or equivalent from two-year college or technical school, or related experience and-or training, or equivalent combination of education and experience.
  • Experience in negotiation and customer support.
  • Ability to maintain strong customer relationships.
  • Knowledge of Deltek and Costpoint.
