Job Description:


The
Training Administrator
is responsible for the administration of crew training records, Pilot Records Database (PRD) and issuance of courses.


Essential Duties and Responsibilities:

  1. Conduct all required tasks associated with the FAA’s Pilot Records Database to include adding all WGA pilot’s dates of employment, duty assignments, and training records. At a minimum, a current line pilot requires at least four training records to be reported into PRD each year and the events must be reported within 30 days of completion. New hires require, at a minimum, eight training events to be reported into PRD during the first two months of the initial new hire training.
  2. Pelesys:
    1. Creating Computer Based Training courses using Articulate.
    2. Enrolling new hire pilots, captain upgrade pilots, and recurrent line pilots in required CBTs to meet regulatory requirements.
      1. Auditing completion of the assigned courses.
        1. Was previously not being done as the department lacked resources to accommodate this.
        2. Course enrollment/completion auditing workload will increase an estimated 30 upon implementation of the CBT enrollment prior to a PT.
      2. Following up with outstanding course completion.
    3. Managing all previous and future courses within Pelesys.
      1. Currently not being done as the department lacks the resources to handle this. As a result, there are many courses that are not being used as they need to be updated prior to use.
    4. Creating new hire pilot profiles, closing pilot profiles who resign from WGA.
    5. Yearly audits are required to keep the profiles standard and organized.
  3. ETR:
    1. Building and creating Training Courses
      1. Require testing to be conducted prior to implementation. Can often require several hours of testing both on the company provided iPad and desktop.
    2. Building and creating Training Records (assessments)
      1. Require testing to be conducted prior to implementation. Can often require several hours of testing both on the company provided iPad and desktop.
    3. Revising Training Courses and Assessments
    4. Auditing all Training Courses and Training Records
    5. Create training material when changes are made to the program to provide to all LCPs and SCPs.
    6. Re-opening Training Records and auditing after an LCP/SCP corrected inaccurate records.
  4. Departmental Audits
    1. Random audits conducted throughout the year to verify various processing are functioning as required.
    2. Training Records Audit – previously conducted by the Training Coordinator and would take at a minimum a month to complete. Currently being done by both the Training Coordinator and Training Scheduler throughout the year to avoid tying up one staff member for an entire month.
  5. New Hire Training
    1. Would be the primary point of contact between all new hire pilots and would direct the students to the appropriate department for guidance.
  6. Flight Training Security Program
    1. Guide foreign national new hire pilots through the process of enrolling in the FTSP program to acquire training approval for the initial type course.
    2. Place training requests with the FTSP for all recurrent line pilots and captain upgrades, foreign nationals.
    3. Manage the program on a weekly basis as it demands a few hours a week to keep WGA in compliance.
    4. Training material needs to be created and provided to both new hire pilots, recurrent line pilots, and Training Department staff in case one of the current staff members falls ill or resigns. The current department staff was self-taught and has not had time to create training material.


Job Requirements:


  • Bachelor's degree in business, training, or aviation preferred.
  • 2+ years crew training coordination experience or related airline function required.
  • Excellent organizational and interpersonal skills.
  • Analytical skills that allow for the development of data-driven reports.
  • Microsoft Office experience required.
  • Microsoft PowerBi experience preferred.
